Position Description
JH Kelly is seeking a positive, detail-oriented, and organized Logistics Administrative Assistant to support the Logistics Coordinator by handling the administrative and data entry tasks associated with the scheduling and execution of deliveries. This role ensures that purchase orders are accurately entered, logistics vendors are scheduled efficiently, and all documentation related to shipments is completed and properly filed. The successful candidate is detail-oriented, organized, and capable of working in a fast-paced, logistics-driven environment with minimal supervision.

Here’s a deeper dive into what you’ll take on:
Logistics Coordination & Scheduling:
Enter and manage purchase orders (POs) accurately within company systems.
Assist with scheduling logistics vendors for inbound and outbound shipments.
Input load data into dispatch and logistics tracking systems to maintain accurate shipment records.
Coordinate with warehouse, field teams, drivers, vendors, and internal departments to confirm schedules, delivery requirements, and successful deliveries.
Provide backup support for the Logistics Coordinator, including scheduling and coordination responsibilities as needed.

Shipping Documentation & Recordkeeping
Prepare and organize shipping documentation, including bills of lading, load sheets, delivery confirmations, and related paperwork.
Maintain detailed shipment records, vendor communications, and logistics documentation for compliance, reporting, and reference purposes.
Maintain vendor files, compliance records, rate sheets, and supporting logistics documentation, ensuring accuracy and accessibility.
Track delivery statuses and ensure all required shipment documentation is received and properly filed.

Vendor & Operations Support
Monitor logistics-related email inboxes and respond to or escalate inquiries as appropriate.
Review vendor invoices and match supporting documentation to ensure accuracy and proper processing.
Assist with onboarding new logistics vendors and maintaining vendor information.
Assist in filing freight claims and documenting delivery discrepancies, damages, or service issues.
Communicate proactively with vendors, carriers, and internal stakeholders to resolve shipment issues and support operational efficiency.

Reporting & Process Improvement
Support the preparation of weekly and monthly logistics reports, including shipping activity, costs, and performance metrics.
Track and report logistics-related data to support operational planning and decision-making.
Identify opportunities for process improvements and assist with implementing enhancements to logistics workflows and administrative processes.

Team & Administrative Support
Provide administrative support to the Logistics team to ensure timely and accurate completion of logistics activities.
Act as a liaison between logistics personnel, vendors, and internal departments while keeping leadership informed of urgent issues or developments.
Assist with maintaining organized records, systems, and administrative processes to support daily operations. Support Shop
Superintendent by setting up project files, job setup data, and other duties as required.

Additional Duties
Assist and provide administrative support to ensure timely and accurate task completion.
Perform additional tasks and projects as assigned.
Position Requirements

What You Bring
Experience: Minimum of one (1) year of administrative experience in a warehouse, logistics, or dispatch environment. Preferred: Experience with purchase orders, shipping paperwork, or vendor coordination. Preferred: Familiarity with logistics or dispatch software (e.g., TMS, Fleet Complete, etc.).

Education: High school diploma or equivalent required. Associate or Bachelor’s degree a plus
Skills: Strong attention to detail and high accuracy with data entry. Solid organizational and time management skills. Clear and professional communication skills (verbal and written). Proficiency with Microsoft Office (especially Excel and Outlook). Ability to handle multiple tasks and meet deadlines. Comfortable working independently and taking initiative. Ability to adapt to changing priorities in a logistics environment

Physical Requirements:
This office-based role involves sitting at a computer for extended periods, with occasional standing, walking, bending, and lifting up to 20 pounds. Strong manual dexterity, hand-eye coordination, and clear communication skills are required. Reasonable accommodations are available.
