The Opportunity
WSDOT is currently seeking an Office Assistant 3 for the Intelligent Transportation Systems (ITS) Communications & Wireless Technology office in Tumwater, WA. The top candidate will provide a variety of complex administrative projects and assignments, prepare and track purchase orders, perform wireless asset management, and monitor the Federal Communications Commission Universal Licensing System (FCC ULS) in support of the Statewide Wireless Communication System. This position provides critical support to the overall success of the statewide wireless program and meeting its mission to provide wireless solutions that allow the safe and efficient operations of the state highway system.

What to Expect
Among the varied range of responsibilities held within this role, the Office Assistant 3 will:

Update and maintain all 10,000 wireless assets in Wireless Asset & Information Management System (WAIMS)
Create reports including the TARTS reports for capital asset reporting.
Coordinate and submit Minor Cap and WaTech reporting.
Process in-state and out-of-state travel arrangements.
Make purchase card (P-Card) payments and process P-Card transactions.
Coordinate payments; create payment vouchers; and process payment vouchers and journal vouchers.
Validate, monitor, and track contracts, payable agreements, and reimbursable agreements.
Act as wireless program timekeeper.
Coordinate meeting arrangements.
Review, compose, prepare, and distribute correspondence.
Assist in the maintenance of electronic and manual file systems for FCC Licensing.
Maintain the retention policy and coordinate the destruction of materials.

Qualifications
To be considered for this opportunity, the following are required:
High School Diploma or GED
Two (2) years of experience in creating and managing complex electronic and paper filing systems, such as Site documentation, drawings, and leasing information.
Demonstrated ability to clearly communicate in a variety of mediums to supervisors, other technical staff, and departmental customers.
Demonstrated ability to produce and/or edit written correspondence, and experience in reproducing existing documents such as standards and practices to ensure accuracy, proper grammar, and spelling.
Proficiency in operating office equipment, such as personal computers, multi-line telephone, fax, copier, scanner, printer.
Proficiency in using Microsoft Access database, Excel spreadsheets, Word, and PowerPoint as well as File Maker Pro.

It is preferred that qualified candidates also have:
Familiarity with the FCC ULS
Experience with WSDOT P-Card payment and reconciliation.
Experience creating purchase orders using WSDOT purchase and order system.
Experience with data input into Transportation Reporting, Accounting, and Information System (TRAINS), reports from Datamart, and using database system.

This position offers flexible/hybrid remote work options. This position is eligible to telework up to one day per week.
In addition to base salary, employees may be entitled to other forms of compensation depending on the type, duties, or location of the position.
