ROLE OVERVIEW

Kwik Lok is looking for a people-facing problem-solver to join our team as an Administrative Assistant position supporting our Yakima plant. This role reports to the Chief of Staff and will assist with activities to support the President/CEO, Leadership Team, and Directors. As a public-facing position, this role will influence the way both employees and customers experience Kwik Lok. This position supports Kwik Lok production activities through the manufacture of Kwik Lok closures with a focus on continuing improvement of quality, food safety, and manufacturing processes.

POSITION RESPONSIBILITIES AND RESULTS

Provide direct administrative support to the executive team and corporate directors as directed by the Chief of Staff
Organize meetings through scheduling, preparing agendas, and keeping meeting minutes
Assists the Chief People Officer with deployment of employee documents, employee handbook, maintaining global employee roster, employment agreements, and other duties as needed
Assist in contract and agreement development, review, tracking, and approval
Assist in coordination of public relations efforts and special events as requested
Coordination of global employee recognition program
Maintain records of incoming and outgoing correspondence and documents and follow up on work in progress
Coordinate companywide employee events as directed
Works closely with the receptionist and serves as a backup to receptionist during daily breaks and leave
Types, files, and performs other office duties
Maintain executive break room and board room
Handle calendar management and travel arrangements as directed
Manage incoming and outgoing correspondence, including emails, phone calls, and mail for the CEO
Prepare and edit documents, reports, and presentations
Coordinate and schedule meetings, conferences, and special events, including room bookings, catering, and audiovisual setup
Maintain and organize office files and records, both electronic and hard copies
Assist with project coordination, including research, data analysis, and report preparation
Act as a liaison with internal and external stakeholders, maintaining positive and professional relationships

REQUIRED QUALIFICATIONS

High school degree or GED and four years executive office experience; or BA degree in Business and two years executive office experience
Proficient in Microsoft Office products – Excel, Outlook, PowerPoint, Teams, and Word
Strong time-management skills, with the ability to prioritize tasks effectively
Flexibility and adaptability to changing priorities and deadlines
Must be legally authorized to work in the U.S. without sponsorship
Must be able to pass pre-employment drug and background screenings

Compensation: between $23.12- $25.23 per hour, commensurate with experience
Insurance Benefits: Medical, Dental, Vision, Prescription, Life and Disability Insurance plans (60 day waiting period)
Retirement Benefits: 401K Plan with company match (90 day waiting period - restrictions apply)
Paid Time Off: (90 day waiting period, prorated for first year)
Vacation: 120 hours a year, with increases based on years of service
Holidays: 70 hours a year (8.5 days): 1 Floating Holiday, New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and the Friday following, half day on Christmas Eve, and Christmas Day
Sick Leave: 40 hours a year, accrued at 1 hour per 40 hours worked for hourly employees, salary employees prorated for first year
Other Compensation: Employees may be eligible for annual performance bonuses
Expected schedule: Monday-Friday, 8:00am-5:00pm

Regularly sitting and/or standing at a computer.
Constantly seeing, hearing, talking.
Noise level in office environment 10dB, 85-95 dB in production environment.
Occasionally bends, squats, reaches, kneels, and may lift up to 40 lbs. on occasion.
