The Opportunity
WSDOT is currently seeking an On-Call Secretary Senior to contribute to our mission of providing safe, reliable, and cost-effective transportation options. This part-time, non-permanent position plays a critical role in fostering a respectful and healthy work environment with a focus on diversity, equity, and inclusion. As part of the team, you will perform administrative duties under the general direction of the Forms and Records Analyst 3, supporting various offices throughout the Northwest Region. This on-call role is essential for addressing staffing shortages or planned leave, ensuring smooth operations across the region.

What to Expect
Among the varied range of responsibilities held within this role, the On-Call Secretary Senior will:

Utilize independent judgment to prioritize and organize tasks efficiently.
Create and uphold office procedures and standards to ensure smooth operations.
Manage extensive electronic and manual filing systems, including personnel, vendors, and records.
Regularly update and maintain various office records, including personnel, vendors, correspondence, purchasing, contracts, forms, and records.
Receive, review, and distribute incoming mail, responding or forwarding it to the appropriate staff.
Operate a WSDOT vehicle to transport packages weighing up to 50 lbs., including collecting mail or making special deliveries.
Perform complex word processing tasks, using software to compose letters, memos, and reports.
Process payments for orders, check invoices for correctness and prepare pay documents.
Contact vendors regarding shortages, billing discrepancies, and research invoices lacking information.
Effectively work in a busy, fast-paced, high-pressure office with large volumes of work, meeting tight deadlines.


Qualifications
To be considered for this opportunity, the following are required:

High School graduate or GED equivalency.
Excellent Customer Service Skills.
Ability to deal with information in a confidential manner.
Ability to safely operate a vehicle to transport goods and materials.
Basic computer skills, including knowledge of Microsoft Office Suite software (Outlook, Word).
Ability to manipulate up to 50 lbs.
Ability to sit/stand for long periods of time.
Excellent communication skills and must be willing and able to always relate with the public and other customers in a courteous and professional manner.
Must be able to work independently, use judgment to handle multiple tasks, and solve problems that arise due to scheduling conflicts, building emergencies, etc.


It is preferred that qualified candidates also have the following:

Two (2) years of progressively responsible office experience in government.
Knowledge of WSDOT departments and field offices, including their functions and locations within the Northwest Region.

This recruitment may also be used to fill additional positions per business needs.
This position is not eligible for remote work.
The salary listed includes the legislative-approved 5% salary premium for positions in King County.

In addition to base salary, employees may be entitled to other forms of compensation depending on the type, duties, or location of the position.
