There is one Office Specialist I opening with the Yakima County Superior Court Department. This position works as an integral member of the interdisciplinary team for the Therapeutic Courts Programs. The Therapeutic Court Programs are an intensive court managed therapeutic response to high-risk, high need offenders. This position, along with other members of the team, work together to support the participants of Therapeutic Court Programs. As a support position for the team, this position performs a number of administrative tasks related to the operation of the Drug Court Program.

This position requires a typing test with a minimum of 30 net wpm to be taken online. A testing link will be emailed to you, and these tests must be completed within 48 hours of the closing date.

Responsibilities:

Essential Duties:
Coordinates with team attorneys to receive initial screening documents to determine eligibility for the program. Regularly communicates with the team and the referring attorney and/or potential Drug Court, Mental Health Court participant about the status of the referral.

Enters appropriate data in the DCCM case management system, the statewide case management system and regularly updates the Drug Court and Mental Health Court participant files for use in team meetings.

Collects any additional information as requested by the team about the referred participant so that an informed decision about entry can be made.

Organizes the weekly team meetings, coordinates team members’ access to meetings, sets docket/schedule, prepares necessary documents, and gathers participant information to assist the team in conducting staffing.

Prepares court case files for weekly Therapeutic Court sessions which includes reviewing the case file and identifying any documents that may need to be prepared in advance.

In court, timely completes case event entries in statewide case management system, generates necessary documents in court based on the decision of the Judge. Documents participants program progress, takes photos and creates certificates, distributes incentives acknowledging exceptional program progress. Manages
virtual attendees’ access to court session. Ensures that the court proceedings are being recorded correctly via the FTR system and that the audio log is being prepared for each case.

Communicates information and transmits court paperwork to another county, local and state agencies. Records daily case setting statistics for scheduling purposes. Monitors courtroom events to identify potential security risks or special need situations.

Responsible for ordering Therapeutic Court program supplies, organizing and setting up graduations and acquiring all the necessary supplies. Tracks incentive inventory.

Attends, and schedules training for team members as directed, responsible for making necessary travel arrangements, registering team for training, and communicating necessary information to the team about their attendance.

Updates all Drug Court and Mental Health Court program materials as directed, to include the participant handbook, policy and procedure manual, promotional materials, website, social media etc. Reviews program forms, makes recommendations for changes as needed, updates forms.

Generates reports from case management system, tracks program statistics, assist in the development of grant applications, reports on program progress, responses to inquiries about program purpose, process, and performance.

Other Duties as Assigned

Education & Experience:
High School Diploma or GED AND three (3) years of clerical/administrative assistant experience; OR any combination of experience or training which provides the knowledge, skills and abilities sufficient to successfully perform the essential duties of the job.

Required:
Valid WA State driver’s license and proof of insurance, if requested;
Successful completion of a comprehensive criminal background and general employment verification;
Proficient use of Zoom or other visual meeting software;
Proficient use of MS Work, Outlook, and Excel;
Knowledge of legal terminology, laws, rules, and regulations governing the courts; and,
Roles and responsibilities of the judicial system.

Preferred:
Work experience or knowledge of the legal system, in particular the role and function of Courts;
Bilingual (English/Spanish);
Court docketing and case management experience;
Clear and concise verbal and written skills; and,
Experience with JIS/SCOMIS/Odyssey and BIT programs.

Equipment Used: computer, laptop, printer, copier, telephone, scanner, calculator, cell phone, fax, FTR playback equipment, assistive interpreter, hearing devices for public users, other standard office equipment, and passenger vehicle.

Working Conditions: This position is rated as Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Environment: travel, may be required to work at alternate work locations and outside of standard business hours for meetings, conference and/or trainings, and may be exposed to potentially violent or hostile individuals.
