JOB TITLE: Building Secretary

QUALIFICATIONS: Any combination equivalent to graduation from high school and two years of progressively responsible office or secretarial experience, preferably in a school. Applicable college or business school training may be substituted for one year of required work experience. Bilingual in speaking and reading Spanish preferred. Clerical training or experience required.

NATURE OF POSITION: Perform varied clerical and secretarial functions in assigned building; perform public relations and communication services for the principal; and do related work as required.

REPORTS TO: High School Administration.

JOB GOAL: Positions in this class are characterized by frequent contacts with staff, students and public. Positions at this level direct the work of subordinate employees and students in the maintenance of total office operations. Respect and hold in confidence all information of a personal nature pertaining to the students, parents and faculty, and to report such information only to the principal.

PERFORMANCE RESPONSIBILITIES:
Manages and collects funds (e.g. lost text books, ASB cards, ticket sales, yearbook purchases, fines, etc.) for the purpose of ensuring receipt of revenues, accuracy and timely completion of transactions.
Oversite of ASB activities, collaborating closely with the Business Manager, high school administration, and Athletic Director to ensure alignment with ASB regulations.
Responsible for maintaining and accounting for ASB funds, ensuring financial transparency and effective management of student-led initiatives.
Leads in finding coverage for both certified and classified staff absences in the building.
Assists with the preparation and issuing of staff inventory/supplies.
Prepares cash deposits from school activities for the purpose of making daily bank deposits as needed.
Reconciles account balances for the purpose of maintaining accurate account balances and complying with related policies, practices and/or regulations.
Researches discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures prior to processing for action.
Coordinates development of reports (e.g. tracking various items, fundraisers, sales tax, etc.) for the purpose of meeting deadlines and complying with district, state and federal guidelines.
Keeps financial and statistical records and makes reports for the state and school district.
Prepares P223 enrollment report
Receives office visitors in a courteous and friendly manner, determines their needs and serves them promptly.
Receives telephone calls in a courteous and friendly manner and handles the messages promptly or arranges a call back. Instructs student office help to conduct their duties in a like manner.
Plans, lays out, and performs a wide variety of clerical and secretarial duties
Communicates and applies district and school rules/procedures
Enrolls and transfers students and keeps attendance
Prepares periodic reports, which involve searching out materials from various sources and working out details of presentation.
Assists individual students or parents related to the school program and its staff, referring the most complex problems to the principal or other designated staff person.
Composes standard letters, memoranda, or reports independently or with little instruction
In absence of nurse, administers first aid; decides whether ill students need immediate care, whether to call professional medical help or a parent, or to excuse the student temporarily from the school program.
Performs other duties as assigned by building administration.

The noise level in the work environment ranges from low to high
The employee will work near or with mechanical equipment.

LIMITS OF AUTHORITY: Reports to building principal and supervises all office aides as assigned.

TERMS OF EMPLOYMENT:
LENGTH: 211 contract days (includes ten (10) paid holidays.)
SCHEDULE: 7:00 a.m. to 3:30 pm, or as assigned by building principal as per contract.
SALARY AND BENEFITS: As agreed to by the school board.
EVALUATION: By the building principal on/before May 1st of each year.
