Purpose Statement
The job of Administrative Assistant 1 was established for the purpose/s of supporting the principal’s administrative functions;
ensuring efficient operation of support functions; documenting and communicating information; and coordinating office operations,
projects and site activities. Depending on the assignment, a head building secretary in this job may or may not perform all of the job
functions and accompanying duties.

Essential Functions
• Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.
Assists with a variety of school activities scheduling (e.g. awards/recognition ceremonies, graduation ceremony and related grade
promotion activities, equipment maintenance, conferences, facility use, work orders, fines and fees, inventories) for the purpose of
ensuring availability planning events and ensuring availability of facilities and/or equipment.

Attends meetings as assigned (e.g. trainings, in-services, staff meetings) for the purpose of documenting events, conveying and/or
gathering information.

• Collects payments and/or fees for the purpose of completing transactions as assigned.
Compiles data from a variety of sources (e.g. enrollment, discipline notices, class requests, homework requests, daily attendance,
emergency medical forms, First Aid/CPR forms, permission slips, timecards, logs, physicals, supporting documentation for auditors,
daily reports, etc.) for the purpose of complying with financial, legal and/or administrative requirements.

Maintains a variety of manual and electronic documents files and/or records (e.g. keys and security records, maintenance logs,
vendor activities, invoice/fee statements, student activities, schedules, purchase orders, POS system, reports, applications, forms,
etc.) for the purpose of providing documentation for audit purposes and meeting state, federal and administrative requirements.

• Maintains inventory of office and school supplies as assigned for the purpose of ensuring the availability of items as needed.
Orients temporary staff and student teachers as assigned for the purpose of effectively assimilating new personnel into site
operations.

• Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the work environment.
Performs record keeping and general clerical functions (e.g. proofreading, e-mailing, filing, copying, faxing, etc.) for the purpose of
supporting departmental operations.

Prepares written materials (e.g. time records, extra pay requests, incident reports, purchase orders, budgets, referral/suspension
letters, notes, letters, memos, scheduling reports, master schedule, report cards, standardized correspondence, calendars,
handouts, periodic reports, deposit slips, purchase orders, etc.) for the purpose of documenting activities, providing written
reference and/or conveying information.

Processes documents, forms, reports and materials (e.g. reports, enrollment, fulfill records requests, updating demographics,
scheduling progress/grade reports, transcripts, withdrawals, scholarship applications, time-sheets, cash payments, requisitions, fees,
mail, applications, supplies, messages, deposits, receipts, orders, deliveries, etc.) for the purpose of disseminating information,
determining eligibility and/or completing transactions.

Processes student records (e.g. enrollment, withdrawal, grades, personal info, etc.) for the purpose of ensuring compliance with
related regulations, assisting students and parents, and maintaining accurate student records.

Provides support for financial/accounting activities as assigned (e.g. general and ASB funds, account expenditures, purchase
orders, receipts, student POS accounts, bid pricing versus actual purveyor chargers, etc.) for the purpose of providing support and
maintaining accurate records in compliance with accounting and record keeping practices.

Provides training and supervision to assigned student workers and/or volunteers for the purpose of providing guidance and direction
with their job functions and/or ensuring compliance with established requirements.
• Receives deposits for the purpose of processing cash and checks and preparing bank deposits.
Responds to inquiries from a variety of internal and external sources (e.g. staff, public, parents, students, outside auditors, etc.) for
the purpose of providing information and/or directions as may be required.
• Secures substitute staff for the purpose of ensuring adequate staffing.
• Supports assigned administrator(s) for the purpose of providing assistance with their administrative functions.
Works within a variety of educational websites and programs (e.g. OSPI, CEDARS, SKYWARD) for the purpose of maintaining
updated records and providing current information pertinent to the school building.

Job Requirements: Minimum Qualifications

Skills, Knowledge and Abilities
SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions.
Specific skill-based competencies required to satisfactorily perform the functions of the job include: applying pertinent codes, policies,
regulations and/or laws; operating standard office equipment including pertinent software applications; planning and managing projects; preparing and maintaining accurate records; and positive public relations.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of
manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific
knowledge-based competencies required to satisfactorily perform the functions of the job include: concepts of grammar and
punctuation; bookkeeping principles; business telephone etiquette; common office machines and software; office methods and
practices; and document formatting and production.

ABILITY is required to schedule activities; gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to
work with others in a wide variety of circumstances; work with data utilizing defined and similar processes; and operate equipment
using standardized methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize
job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data
may require independent interpretation; and problem solving with equipment is limited to moderate. Specific ability-based
competencies required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating
with diverse groups; establishing and maintaining effective working relationships; displaying tact and courtesy; maintaining
confidentiality; working as part of a team; and working with frequent interruptions.
Responsibilities include: working under direct supervision using standardized procedures; providing information and/or advising
others; and tracking budget expenditures. Utilization of some resources from other work units is often required to perform the job's
functions. There is a continual opportunity to have some impact on the organization’s services.
Responsibility

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying,
pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job
requires 60% sitting, 20% walking, and 20% standing. This job is performed in a generally clean and healthy environment.
