Central Washington University is recruiting an Assistant to the Dean (Secretary Senior) to join our COB Deans Operating team in Ellensburg, Washington. The Role:

This position is the assistant to the Dean of the College of Business. Responsibilities include administrative support, event planning and supervising college ambassadors. The individual will also work closely with associate dean, staff, faculty, and department chairs as needed.

Job Duties
Assistance to the Dean and Associate Dean:
- Provide executive administrative assistance to the dean and associate dean.
- Schedule appointments and establish calendar priorities for the dean and associate dean with appropriate information for each appointment. Schedule and arrange meetings (in person and through Zoom), make room reservations, assure that the dean is briefed on matters for scheduled meetings.
- Develop, prepare and /or assemble materials for meetings. Record and prepare minutes of meetings, agendas and information packets.
- Develop and implement administrative and office procedures.
- Evaluate administrative and procedural problems and recommend solutions to the dean and/or make changes. Establish mail, filing, inventory maintenance and control systems.
- Assist dean and associate dean with college elections via Qualtrics.
- Advise dean on personnel issues within the unit.
- Respond to day-to-day issues involving the College; keep dean informed.
- Purchasing responsibility for unit.
- Oversee the scheduling and coordination of office space and facilities, including maintenance and repairs when necessary.
- Handle travel arrangements, accommodations, and logistics for the Dean, Associate Dean, and other key stakeholders.
- Maintain distribution groups and security groups (drive access) using Exchange Admin Center.
- Serve as the college’s New Employee Ambassador.

Project Coordination:
- Assist in planning and executing special events, conferences, and meetings hosted by the Dean’s office, coordinating logistics, invitations, materials, and follow-up.
- Collaborate with various departments to support cross-functional projects, initiatives, and administrative processes.

Supervision of the CoB Ambassadors:
- Recruit and train ambassadors on Ellensburg campus and at the regional centers.
- Manage ambassadors’ work schedule/task.
- Manage ambassadors’ performance.
- In partnership with Access and Success staff, coach/mentor ambassadors and provide professional development opportunities.
- Support in planning internal and external events at the Ellensburg campus and the regional centers.
- Duties as assigned.

Minimum Qualifications

Significant administrative experience including office management, directing projects and programs, and supervising and mentoring college students.
Knowledge of administrative procedures and business operations.
Experience demonstrating strong computer skills to include: Word, Excel, Adobe, databases; experience developing and running reports; experience with Teams or Zoom or other remote meeting software.
Experience demonstrating success with handling a high volume of customer contact and providing customer service that includes communicating with a wide variety of stakeholders such as other agencies, professionals in the community, internal staff/managers/administrators, students, applicants both verbally and via telephone, email, and written correspondence.
Demonstrated experience in the ability to successfully handle a demanding workload with overlapping deadlines requiring great attention to detail, strong communication skills, perseverance, initiative, and ability to take direction and work independently in an environment characterized by interruptions throughout the work.
Experience in coordinating events or projects.
Demonstrated willingness and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds and experiences.
OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Pay, Benefits, & Work Schedule
Salary: This position is based on the range 35 of the Washington State Classification Listing, which has a minimum annual salary of $36,072 and maximum annual salary of $47,688. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch)

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
