Yakima Valley College seeks an innovative and collaborative Bilingual Program Support Coordinator for the Workforce Education Division, who is committed to equity in education and supportive of diverse students and their goals. This is a full-time, classified overtime-eligible position, which includes a full state benefits package.

Reporting to the Director of Workforce Education, the Bilingual Program Support Coordinator provides support to a variety of assigned instructional programs, and faculty and staff in Workforce Education in accordance with the mission and goals of Yakima Valley College. The Program Support Coordinator is the first contact for supported programs with students and community members and assists programs with selective admissions, fiscal responsibilities, such as purchasing and requisitions, travel coordination, document creation and archival, and other types of program support assistance. This position requires the ability to exercise sound judgment and problem-solving skills in decision-making and a desire to promote a positive working relationship with peers, supervisors, faculty, administrators, students, and a variety of departments across YVC. This position also requires the ability to communicate effectively with a wide variety of external and internal stakeholders. Current programs this position will support at this time are Education, Substance Use Disorder and Criminal Justice. Programs can potentially be added during the program support coordinators tenure as needed by the Division

As a team member of the Workforce Education Division, the Program Support Coordinator is responsible for the implementation of policies and procedures designed to ensure compliance with federal, state, and institutional requirements. This individual will demonstrate a strong commitment to diversity, equity and inclusiveness.

Essential Tasks
MINIMUM QUALIFICATIONS:
High school diploma or equivalent, AND
Two years of increasingly responsible office experience, including fiscal and budgeting experience or equivalent education/experience.
Proficient in Microsoft Suite (Word, Excel, PowerPoint), Adobe, and video communication platforms.
Bilingual in Spanish and English

DESIRED QUALIFICATIONS:
An earned Associate degree OR higher from a regionally accredited institution
Experience with accounting practices and fiscal management
Experience creating digital content to create documents (Word, Excel, PowerPoint), Adobe.
Experience working in a community college or other higher education environment.
Commitment to the diversity, equity and inclusion work of the college

ABILITY TO:
Manage multiple tasks and/or projects simultaneously and carry out assignments under pressure with short deadlines and/or frequent interruptions
Learn and utilize multiple software platforms (CANVAS, ctc link, etc.)
Communicate knowledge and skills in both oral and written forms the YVC community who represent a broad spectrum of ages, abilities, ethnicity, education, and cultural backgrounds
Establish and maintain effective work relationships with a diverse group of faculty, staff, students and the general public
Prioritize workload and meet deadlines as necessary
Exercise discretion and ensure a high-level of confidentiality
Communicate with students both verbally and written in both English and Spanish
Maintain a sense of humor and collaborative nature

KNOWLEDGE OF:
Office and administrative practices and principles
Skill in operation of computers, related software applications (MS Word, Excel, PowerPoint and Access), video conferencing software
Standard office equipment i.e. copy machines
Accounting and budgeting techniques and principles

Qualifications

ESSENTIAL FUNCTIONS:
Provide general program information to students, staff, and program participants and or to the public regarding programs content, policies and activities, promoting the programs on and off campus.
First line student support for assigned programs; answer multi-line phone system, guide students to appropriate information or individuals at the college.
Work as part of a Divisional team.
Assist in onboarding new team members and faculty by sharing institutional knowledge and guiding them to appropriate support areas.
Monitor budget status in line with program activities, plans or priorities; maintain program budgets and initiate corrective action in collaboration with dean’s office, fiscal manager and business office;
Complete invoice vouchers, accounts payable vouchers; receive, process and deposit funds; assist in the preparation, data collection for accreditation, grants and grant proposals.
Maintain a record keeping system for recording budget transactions; reviews budget reports, verifies accuracy and takes corrective action if necessary; reconciles, reviews and revises budget status reports and prepares expenditure projections; notifies deans and fiscal manager of any projected or actual over or under expenditures.
Support preparation of program agreements, grant writing initiatives, budgets, and related information.
Utilize purchasing software, process requisitions, code with proper budget and category; ensure compliance with departmental, institutional and/or granting agency policies, rules and regulations.
Responsible for working collaboratively with assigned program faculty to update website information annually or more frequently if needed.
Participate in Division wide recruitment events as needed.
Attend department/program meetings as needed.
Coordinate and archive background checks and required immunizations for special admission programs.
Assist programs with event planning.
Maintain data and communications with and for program Advisory Committees.
Assist faculty and staff with travel authorizations and expense vouchers/requisitions while ensuring compliance with state and institution regulations and procedures.
Compile information for year-end reports, budgetary reports, auditing, and accreditation.
Support dean, fiscal manager and department faculty with fiscal and other data reports.
Responsible for executing special admission processes; including coordination of background checks and required immunizations.
Assist with document creation, such as handbooks, degree worksheets, graduation applications.
Manage check out process of purchasing cards, obtain necessary authorizations and reconcile monthly budget statements.
Prepare, update and maintain memorandum of understanding (MOU) documents and partnership/clinical agreements and records.
Establish office recordkeeping or filing system(s) and create accessible program documents.
Retrieve information as required to support staff and faculty requirements.
Follow all college policies and procedures and ensure sensitive information that applies under HIPPA or FERPA is secured accordingly.
Attend meetings, events and/or conferences as program representative as assigned.
May provide translation services to program student population.
Other duties as assigned.
