UWMC Montlake's Environmental Services (EVS) department has an outstanding opportunity for a full-time, day shift, ADMINISTRATIVE ASSISTANT 2.

The ADMINISTRATIVE ASSISTANT 2 – Environmental Services will:

Provide Support to the Environmental Services Director and Environmental Services managers.

Provides clerical/office staff and support department Director and Managers for a five cost center roll up group consisting of Environmental Services, Environmental Services Roosevelt, Environmental Services Stadium, Linen Services, and Waste Management. This position will oversee all of the department’s employee files, recordkeeping, calendar management, facilitation, meeting scheduling, meeting minutes, correspondence, travel arrangements, handling of confidential and sensitive materials; demonstrate technical competencies; need to be proficient in the creation of, and working with, spreadsheets, databases and various software programs; demonstrated proficiency in Microsoft Office Suite; manage binder and schedule materials for above. Provides clear and concise communication both written and verbally.
Job Duties & Performance Standards

Assist in answering telephones and responding to inquiries regarding departmental procedures and services; receive and refer visitors.
Conduct new employee orientation, new hire checklist, new hire training and scheduling.
Support department Director and managers for various meetings by taking minutes, setting agenda and preparing reports.
Prepare linen usage reports monthly on detailed spreadsheets.
Supervise the maintenance of personnel files and audits them for completeness, accuracy, and compliance. Follows up with office support supervisor until all required documentation is completed and filed.
Schedule department meetings to accommodate all five cost centers.
Accurately and in a timely manner creates, modifies, revises, and maintains inventory of forms for departmental use.
Communicates appropriately and clearly to custodians, other Environmental Services staff, medical center staff, patients, and visitors.
Performs word processing in a variety of document formats with proper formatting and correct grammar and spelling.
Assists with spreadsheet, database, or e-mail projects as needed.
Manages and operates all equipment safely and correctly.
Effectively prioritizes work and deals with multiple demands and tasks. Responds promptly and keeps Director, Managers and supervisors informed of progress.
Performs other related duties as assigned.

Meeting Support-
Provide full support for and minute taking responsibility for Ambulatory Facility Operations meetings; perform follow up action on deliverables identified in meeting
Create and generate agenda and meeting arrangements for the weekly Directors Meeting
Provide primary reception, telephone, and front end office coverage; provide front line service recovery for our patients and families
Lead the day to day work and provide general orientation to new EVS staff.
Respond to and resolve in-person or telephone complaints or concerns of patients
Budgetary responsibility for office supplies- maintain request log and order as needed; check and assist with ongoing maintenance of shared office equipment (printer, fax, and copier).

Minimum Qualifications:

Requires High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience.
