Description
The Administrative Assistant will perform complex clerical, bookkeeping, and accounting assignments.

Welcomes and directs visitors and clients.
Answer phones, check for and take messages, connect and field incoming calls for team.
Organizes incoming and outgoing mail and faxes.
Performs data entry and filing tasks for accounts payable, purchase orders, equipment inventory, and confidential employee or departmental files.
Assist with meals for leadership, get orders and pick up team and client lunches.
Maintains office supplies and coordinates maintenance of office equipment.
Maintains inventory and orders office supplies and hospitality items.
Maintains office appearance and ensures rooms are set for meetings and training sessions, refrigerator is stocked, etc. to make the office pleasant.
Receives, records, and distributes packages and mail.
Maintains accurate and up-to-date human resource files, records, and documentation.
Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
Assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
Conducts or assists with new hire orientation.
Copies, collates, and otherwise prepares reports for mailings, meetings, and other correspondence.
Process check requests and expense reports on a regular basis.
Accurately review, code, and process vendor invoices
Maintain a large number of vendor accounts while staying in compliance with company policies and procedures
Perform data entry associated with accounts payable.
Review and reconcile invoice discrepancies.
Audit and process credit card bills
Address and respond to vendor inquiries.
Performs other related duties as assigned.

Requirements

Education and Licensure/Certification Requirements:
High school diploma or equivalent required, with some bookkeeping coursework.
Three to five years of related experience required.

Required Skills/Abilities:
Thorough understanding of bookkeeping practices and procedures, with ability to train others in related practices and procedures.
Excellent organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to follow verbal and written instructions.
Ability to type at least 40 words per minute.
Proficient in Microsoft Office Suite or similar software.
Knowledge of spreadsheets and accounting software.

Physical Requirements:
Ability to safely and successfully perform the essential job functions consistently meeting qualitative and/or quantitative productivity standards.
Ability to maintain regular, punctual attendance.
Must be able to lift and carry up to 15 lbs.
Prolonged periods sitting at a desk and working on a computer.
