Job Description:
PAYROLL/ACCOUNTING SPECIALIST
Under the direction of the Assistant Controller, the Payroll Specialist will perform complex work involved in the maintenance of the Institute’s payroll; maintain employee payroll information in an integrated information data system; audit and process incoming payroll data and assist employees with applicable forms and processes.



WORKING CONDITIONS:

Duties are performed in an office setting. Working effectively and collaboratively in a team environment is a must.

This is a non-exempt, full-time, regular position. Overtime may be required as necessary.



WAGE RANGE: $21 – $22 per hour

MINIMUM QUALIFICATIONS:

Associates’ degree or certificate of completion from an accredited career college in business and/or accounting or relevant experience.
Demonstrated experience showing time management, organizational skills and attention to detail.
Proficiency in Microsoft Office programs and skills in the use of computerized database programs.
Must be willing to consent to a drug test.


PREFERRED QUALIFICATIONS:

Experience with an automated payroll and/or accounting system.
Experience processing payroll for 50+ employees.
Microsoft Office certification.


ESSENTIAL JOB FUNCTIONS:

Communicate effectively and interface with staff, instructors, carriers and students in a professional, approachable manner.
Perform basic office tasks, including but not limited to mailing, faxing, working with multi-line phone system, photocopying, and filing.
Regularly review payroll data entered in automated payroll system (Paycom) for accuracy and compliance with State and Federal laws.
Provide assistance to employees for all payroll-related inquiries and corrections needed. Additionally, provide guidance to supervisors for timecard and time off approvals.
Ensure compliance with institutional, state, and federal requirements in payroll procedures, computations and deductions.
Process semi-monthly payroll and timely submit to Paycom. Keep organized calendar to reflect upcoming payroll entry dates. Advise Assistant Controller of timing issues.
Prepare and maintain payroll records; compile and ensure the accuracy of reports; take corrective action as necessary.
Monitor and maintain payroll procedures and make recommendations to the Assistant Controller to improve service and accuracy.
Coordinate with HR on new hire and termination processing in Paycom.
On a daily basis, count cash drawers and prepare bank deposit.
Reconcile all credit card activity, ensuring proper business use, coding, and support.
Assist Assistant Controller with a wide variety of other projects as needed.
Exemplify excellent customer relations with employees and students.
Other duties as assigned.
