Job Description:
Perform administrative and secretarial duties; manages the ITSC office.

HOURS PER DAY: 8
YEAR ROUND POSITION (260 DAYS / 12 MONTHS)
ANTICIPATED START DATE: ASAP
Benefits--Medical/Dental/Vision through SEBB (School Employee Benefits Board) are provided for employees who work at least 630 hours per academic year.

SALARY: Level 9 on the Secretarial/Clerical Salary Schedule. Experience increments depends on experience in the same or similar permanent position within a Washington State public school.

Responsibilities:
Provides all office support to include answering multi-line phones, directing callers to appropriate department.
Retrieves and quickly responds to voicemail, chat, and email messages. Assists walk-in traffic, maintaining awareness of people coming and going from building and department in support of IT system security.
Department timekeeping duties including processing payroll, tracking absences, maintaining records of staff members’ leave usage, etc. Respond to ITSC and Technology Services department employee questions related to payroll tasks and benefits.
Assist with system-wide technology inventory processes including solving school site and departmental inventory issues and audits.
Manage student technology fines and fees.
Perform data organization and data entry projects for IT departments.
Provide administrative support to department administrators and staff in scheduling and planning meetings.
Develop yearly meeting schedule for numerous groups in conjunction with administrative calendars; arrange location and physical requirements; prepare advance notices regularly.
Assists IT staff in coordinating procedures associated with purchasing, inventory, ancillary budgets, and equipment.
Manages department records for all ITSC and Technology Services employees and programs. Accesses and prepares information for reimbursement and requisitions.
Manages, coordinates, schedules, and calendars all travel requests and tracks associated expenses for staff. Manages and creates all travel arrangements for ITSC and Technology Services personnel.
Creates and edits all official ITSC and Technology Services correspondence to include web pages, newsletters and written documents.
Keep department supervisors informed of office issues for their consideration/action.
Responsible for the onboarding and orientation of new staff to office procedures, protocols, rules, and responsibilities. Coordinates with other IT staff to ensure paperwork, ordering, and follows up to guarantee new employees have resources they need to perform job duties.
Ensures employee compliance with time and record keeping, scheduling, staffing, and communicating issues/concerns with supervisor.
Supports the goals and operations of ITSC and Technology Services and ensures work performed by employees meets ITSC, Technology Services and district guidelines, goals, and standards.
Create a wide variety of documents effectively using word processing, spreadsheet, database management and design programs.
Requires flexibility to adapt to changing technologies and processes and to test and implement new platforms and systems changes as part of the IT work.
Perform other Duties as assigned

Qualifications:
Demonstrated ability and aptitude to perform the responsibilities listed.
High school diploma required, and additional college or business college courses preferred.
Accurately type 40-50 words per minute.
Demonstrated excellence in at least four years of secretarial/administrative assistant or office management service with at least one in an administrative secretarial position and at least one of these years being with the school district preferred.
Demonstrated superior spelling, grammar, and punctuation skills. Ability to proofread and edit.
Superior skills in written and oral communication using multiple modalities: telephone, chat, text, email, shared documents, etc.
Demonstrated tact and diplomacy in working effectively with a diverse group of ALL people in a confidential manner.
Demonstrated ability to complete multiple projects on time with minimum supervision.
Highly organized (records management; calendars management, notification and documentation systems, forms, and other tools to effectively manage multiple projects for multiple departments).
Demonstrated superiority in handling confidential information.
Demonstrated technical aptitude including basic troubleshooting skills.
Extensive computer experience required in word processing, spreadsheets, database systems, PDF editing, digital signature systems, basic design tools.
Relates positively to youth and adults of varying socioeconomic, cultural, and ethnic backgrounds.

Employees can also participate in voluntary savings programs to increase retirement savings such as the DRS Deferred Compensation Program or by participating in a 403(b) retirement plan through the District’s plan manager, OMNI.
