Bookkeeping and Office Management Position

We are looking for a Bookkeeper/Office Manager for a statewide association based in Yakima, but with facilities and offices in Wenatchee and the Columbia Basin. This position is in Yakima and is full-time, with an 8 AM-5 PM, Monday - Friday schedule. Organization skills, attention to detail and ability to create backups for transactions are essential to this job. The Bookkeeper/Office Manager may work alone at times, but otherwise is working in an office environment with the Executive Director. Office manager duties and responsibilities include making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a bookkeeper is essential and experience as an Office Administrator would be an advantage. A successful Bookkeeper/Office Manager should have experience with a variety of Microsoft office software (email tools, spreadsheets and databases) and Quickbooks Pro and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Responsibilities:
Receive mail at the Yakima office, open and distribute mail on a daily basis to the appropriate staff
Process correspondence and bills according to office procedure
Process checks received according to office procedure.
Process payroll to approximately 8 full-time year-round employees, and 10-15 seasonal employees.
Process Accounts Receivable
Process Accounts Payable
Process garnishments
Mail all outgoing bill payments and other business correspondence
Develop financial statements and cashflow statements on a monthly.
Coordinate with 3rd party CPA contracted to reconcile all WGL bank accounts on a monthly basis
Manage Unemployment Insurance claims with assistance of Executive Director
Manage Workers Compensation claims with assistance of Executive Director
Complete payroll tax forms and payments
Manage Membership records
Coordinate with communications and website contractor
Mailing other business correspondence
Manage Petty Cash fund
Maintain company Safe Deposit box
Take minutes at board meetings
Maintain business files
Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
Schedule meetings and appointments as necessary for office management
Organize the office layout and order stationery and equipment
Maintain the office condition and arrange necessary repairs
Organize office operations and procedures
Make bank deposits
Coordinate with IT contractor on all office computer equipment
Manage contract and price negotiations with office vendors, service providers and office lease
Provide general support to visitors
Assist in the on-boarding process for new hires as directed by Executive Director
Interact with facility management vendors, including cleaning, catering and security services
Set up and participate in video-conference meetings using Teams and Zoom

Skills:
Proven experience as a Bookkeeper and Office Administrator
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in Quickbooks Pro
Proficiency in MS Office (MS Excel, MS Access and MS Outlook, in particular)
Hands on experience with office machines (e.g. fax machines and printers)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
A creative mind with an ability to suggest improvements
Must have a vehicle and valid Driver's License for regular short trips to banks and vendors. Mileage is paid for travel.
