The Opportunity
WSDOT is currently seeking an Administrative Assistant 3 in Shoreline, WA. This position supports the Assistant Regional Administrators for Project Development and Construction in the SnoKing Area. The individual in this role will be responsible for timekeeping, purchasing, office space management, vehicle and equipment management, and administrative support for the business group and project teams within the Program. To be successful in this role, we are looking for someone who will use independent judgment and problem-solving skills to accomplish assignments.
What to Expect
Among the varied range of responsibilities held within this role, the Administrative Assistant 3 will:
Coordinate and manage calendars, applying sound judgment and critical thinking for conflicting situations.
Schedule meetings with headquarters executives, NWR management, employees, human resources, consultants and citizens.
Prepare for meetings by scheduling briefings or arranging for briefing papers, assembling materials, and arranging for equipment needed for meetings.
Interpret and apply administrative policies for the unit.
Research issues and policies as needed and prepares reports on the findings.
Screen and assign incoming mail, making decisions regarding appropriate distribution and assignments to staff.
Exercise good judgment regarding what to transmit to ARA, what to assign to staff members, and what to handle directly.
Answer and screen phone calls.
Serve as liaison between supervisor and other staff members, relaying assignments and requesting status information.
Prioritize multiple tasks and responds to emergencies and emergent issues in a timely manner.
Review, track and provide reports from DOTtime to HQ Payroll for assigned employees.
Qualifications
To be considered for this opportunity, the following are required:
High school graduation or GED
Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
Proficiently use Microsoft tools: Word, Excel, Visio, Microsoft Teams and Outlook (email, scheduling and notes).
It is preferred that qualified candidates also have:
Knowledge of office procedures and practices / business management practices, research methods and data collections; communication and correspondence practices; principles and practices of supervision.
Proficiently use WSDOT software – DOTtime and software for payment vouchers and training.

The salary listed includes the legislative approved 5% salary premium for positions in King County.
