Fulfillment & Traceability Coordinator

Responsibilities:
(Will include but not be limited to.)
• Receive, review, and confirm all orders via Sales Staff, Leaf Link and Grow Flow.
• Facilitate order fulfillment in a timely manner by working closely with the Sales Director, Sales Staff, Leaf Link lead and Packaging Lead.
• Provide Packaging Team appropriate pull sheets for order fulfillment.
• Work closely with Packaging Team to prioritize customer orders based on delivery dates, customer expectations, product availability, etc...
• Document customer delivery expectations.
• Create invoices, manifests, and all appropriate related paperwork in Grow Flow to facilitate product delivery.
• Create delivery routes, facilitate deliveries, and confirm delivery appointments utilizing both inhouse staff and contracted delivery company (Terpene Transit).
• Create all labels appropriate for customer orders and provide labels to the Packaging Team.
• Enter all correct invoices into Orgrow QuickBooks for customer payment receipt.
• Facilitate weekly inventory of the Vault, the Cure room, and all tubs of stored product to ensure correct product inventory. Communicate this information with the Leaf Link Lead to ensure customers are viewing correct inventory when ordering online.
• Maintain inventory of all labels used for packaging and report such to Purchasing Agent.
• Oversee tracking compliance in Grow Flow.
• Ensure proper labeling, tagging and traceability of all plants, including plant counts both physically and in Grow Flow.
• Document new clones, 1st and 2nd transplants in Grow Flow and keep all related records in a binder.
• Record finish product weight and tag all product as appropriate.
• Maintain the Weekly Planner to communicate customer order pick-up and delivery.
• Work with Production Manager to facilitate product testing. Enter lab results into the Grow Flow system in a timely manner.
• Attend Monday morning meetings with Sales Staff and Department Leads to facilitate improved communication regarding orders and product inventory.
• Establish and maintain positive customer relationships via email and telephone.
• Coordinate fulfillment of special requests.
• Be knowledgeable and compliant with all WA state LCB I502 Rules and Regulations.
• Facilitate employee product samples.
• Assist with payroll as needed.

Skills and Qualifications:

• This position requires a high school diploma or GED. It is preferred applicants have an associate degree or equivalent with coursework or experience in business, customer service, or sales.
• Computer literate.
• Strong interpersonal communication skills.
• Keen attention to detail.
• Time management skills.
• Leadership abilities.
• Organizational and problem-solving skills.
• Self-directed and able to work well as part of a team.
• Cannabis knowledge is preferred but not required.
• Bilingual preferred: Spanish/English
