Job Description:
Position Summary: The Administrative Assistant is responsible for providing comprehensive support to the Greenhouse Head of Global Innovations (HOGI), Co-CEOs, Core Team, and managing the organization's administrative operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Primary Responsibilities:

50%-Executive Support:

Act as a liaison and provide support to Co-CEOs and HOGI. Arrange and handle all logistics for business meetings (internal & external), including scheduling meetings, drafting agendas, developing, collecting, & distributing presentation materials, and recording & distributing meeting minutes.
Anticipate and plan for HOGI and Co-CEOs' needs in advance of meetings, conferences, etc.
Complete a wide variety of administrative tasks that facilitate Co-CEOs and HOGI ability to effectively lead Greenhouse organization, including assisting with special projects as assigned, producing complex documents, summary reports, & presentations, and composing and preparing correspondence as needed.
Work with Executive Team to coordinate HOGI and Co-CEOs outreach activities.
Work closely with HOGI and Global Innovations Coordinator to inform on upcoming commitments and responsibilities.
Act as a "barometer," having a sense of the issues taking place in the environment and consequentially keep HOGI and Co-CEOs updated.
Provide event management support and book travel as needed.

45%-Greenhouse Operations:

Active participation in Greenhouse operations projects, including scheduling and crafting presentations, memos, & agendas. Recording & distributing meeting minutes, action points, follow-ups, & surveys.
Comprehensive project tracking of Greenhouse-related operations matters (i.e., non-technical, non-stage gate projects).
Collect, coordinate, & streamline the Greenhouse operations time tracking system across John I. Haas.
Support editorial teams to prepare and release quarterly Greenhouse Newsletters, written, graphic, and/or video.
Co-analyze & co-develop administrative goals and long-term strategies.
Maintain contact lists and build long-lasting relationships with internal and external stakeholders

5%-Other duties as assigned.

Conditions of Employment:

1. Must comply with all John I. Haas, Inc. policies and procedures, including successful passing of pre-employment background check and drug test.

2. Must comply with our Integrated Management System (IMS) and be trained on procedures applicable to the requirements of the position, including managing significant quality, environmental, and food safety aspects.

3 Work 40 hrs per work week (Sunday-Saturday), additional hours may be required as business may require.

4.Must be able to sit for long periods of time.
Qualifications: (Education/Experience/Skills required of the Position)

Required:

Associate degree in a related field OR equivalent combination of education and experience which clearly demonstrates the ability to perform the essential functions of the role.
Strong administrative, typing, computer and word processing skills (Microsoft Word and Excel). Experience with office equipment and general office procedures.
Experience as an executive assistant or other relevant administrative support experience.
Ability to work and prioritize independently and as a collaborative team member, while managing multiple competing tasks in a busy environment.
Excellent written, verbal, and interpersonal communication skills including ability to communicate in a courteous and tactful manner with co-workers and customers

Preferred

Experience with problem-solving with strong decision-making skills.
