The Child Study & Treatment Center (CSTC) has an opportunity for an Administrative Assistant 4 to join our team. In this role, you'll perform administrative duties on behalf of the Appointing Authority. You will also provide limited administrative assistance to the Director of Quality Improvement, and Medical Director. This position reports directly to the Chief Executive Officer (CEO) of the Child Study & Treatment Center.

Some of what you'll do
Provides confidential administrative support and is the principal assistant to the CEO
Coordinates the activities of the CEO's office, including keeping the appointment calendar, scheduling meetings and appointments, arranging travel, answering the CEO's phone and interacting with callers, assisting them in the CEO's absence whenever possible
As directed, serve as the liaison between the CEO and other staff, relaying assignments and requesting information on the CEO's behalf
Processes outgoing mail for the CEO and other managers
Edits and reviews correspondence and personnel letters on behalf of the CEO prior to signature
Maintains confidentiality on all sensitive matters including personnel issues such as disciplinary actions and staff grievances
Responsible for meeting preparation and taking accurate minutes for a variety of meetings, including but not limited to Governing Body, Clinical Leadership, Safety Quality Council, Emergency Preparedness, Medical Staff, Environment of Care, Training Committee, etc
Assists other upper-level management in preparing agenda/materials for and scheduling meetings, and arranging space
Performs annual compliance checks of staff against OIG Medicare/Medicaid exclusion lists
Provides leadership and oversight to the other facility administrative assistants and tracks facilities projects
Who should apply?
Professionals with a high school diploma or GED AND four years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work
List other skills and abilities.
Knowledge of office procedures; business management practices; research methods and data collections; communication and correspondence practices
Must have excellent administrative organizational and secretarial skills
Skilled in the use of Microsoft Office, Word and Excel particularly
The ability to effectively multi-task and handle a wide variety of duties including interacting with the public in person and on the telephone
The ability to complete assigned tasks and projects in a timely manner with a high degree of accuracy
