Job Description:
WSDOT is currently seeking an administrative professional who has exceptional organizational and communication skills to help support several of our South Central Offices. This position will perform functions such as processing payroll, paying office billings, paying travel expense vouchers, and maintenance of office supplies. This position supports the mission of the organization by providing secretarial services and assistance for several region offices as they deliver the WSDOT transportation program. You will certainly thrive in this position if you have experience in customer service, knowledge of payroll functions, and possess strong attention to detail. We are looking for an individual with initiative, an aptitude for process improvement, streamlined organization abilities, and excellent problem-solving skills.

What to Expect
Among the varied range of responsibilities held within this role, the Secretary Senior will:
- Maintain inventory and keep in stock various offices supplies.
- Arrange for the maintenance and repair of office printers and copiers.
- Screen calls and visitors, take messages, review, and distribute incoming mail.
- Schedule meetings, rooms, take notes and transcribe minutes.
- Make travel arrangements for managers, unit supervisors and/or staff members.
- Review and proofread outgoing correspondence for sentence structure, spelling, grammar, punctuation and make corrections as needed.
- Review employee data entry in DOTtime payroll program, review payroll journals, review for coding accuracy, leave balances, shift differentials, overtime, review amended timesheets, and assist with all questions and concerns from employees and supervisors in the DOTtime program.
- Work with HQ Payroll to resolve employee DOTtime errors and issues, and any payroll discrepancies.
- Ensure WFSE union contract, PROTEC17 union contract, Merit System rules, Payroll rules, HR rules, and WACs are being applied correctly.
- Verify purchase approvals and signatures are received, either wet ink or via email.

To be considered for this opportunity, the following are required:
- High school diploma or GED equivalent.
- Two (2) years of increasingly responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
- Valid driver’s license.
- Skills to be proficient in the use of office machines, such as computers, scanners, copiers, fax, printers, and phones.
- Ability to use computer software such as Microsoft Outlook, Microsoft Word, Microsoft Excel, Teams, and Skype proficiently.
- Self-motivated to manage and complete daily tasks with minimal oversight.
- Ability to work with a variety of personalities and produce positive results.
- Ability to work independently and collaboratively.
- Experience and ability to use discretion and judgment while working independently and maintaining confidentiality.
- Possess good communication skills, both verbally and in writing, to communicate with WSDOT personnel, outside agencies and the public in a clear and concise manner.

It is preferred that qualified candidates also have:
- Experience as an assistant secretary, Secretary or Lead Secretary within a State Agency.
- Experience using agency specific programs such as DOTtime, TRAINS, FIRS, COGNOS, ECM Portal, and the P-Card systems.
- Diploma, Certificate or Degree in Administrative Assisting/Office Technology, Secretarial Studies, Accounting or Office Administration
- Learn, know, and apply rules as they apply to accounting, labor/payroll, and personnel for WSDOT.

Important Notes
In additional to the salary range listed, a general wage increase of 3.25% will be applied for all state employees on July 1, 2022.
This recruitment may be used to fill additional positions per business needs.
