Job Description:
Provide support for the Executive Assistant in service of the overall organization. Assist with agency clerical support, events, meetings, training, projects, document-development, and other tasks as assigned. Self-starter, independent worker, team player, ability to multi-task, possesses strong writing skills, and works a flexible schedule.

Executive Assistant Support:
• Support the Executive Assistant with clerical functions for administration calendar,
meetings, and events.
• Prepare and edit correspondence, communications, and other documents.
People For People
• Provide assistance to research, assemble, and analyze data for reports, grants, and
• Create charts, graphs, reports, and PowerPoint presentations.
• Assist with document storage.

• Provide grant development and support for grant applications. Research grant
opportunities for possible funding.
• Assist with the purchase of supplies.
• Arrange for hotel and conference registrations for agency staff.

• Provide receptionist duties when needed. Ensure adequate front desk coverage.
• Assist with agency mailing projects, annual report, holiday mailing, etc.
• Place orders for staff nameplates, board photos, awards, and plaques.
• Provide set up for meetings include presentation equipment, meals, and meeting
• Oversee weekly staff meetings by ensuring facilitation, proofreading minutes, and
tracking expenses.
• Troubleshoot office equipment as needed to include copier, printer, mail machine, fax,
• Assist with Agency Calendar, schedule meetings and events.
• Track information in databases, update mailing lists with accuracy.
• Maintain office systems, i.e. mail, filing, etc.
• Maintain supplies for Administrative building, including kitchen supplies, supply closet,
supply cabinet (Broker); maintain cleanliness of Administrative building kitchen and
overall appearance.
• Receive and provide WA211 marketing materials requests for mailing.
• Assist with general clerical support of PFP staff and WA211.

Capital Campaign:
• Provide clerical support to the Capital Campaign Committee i.e. setting up meetings,
follow up reminders, taking notes and distributing information.
• Research and identify potential grants for the Capital Campaign.
• Develop comprehensive proposals to respond to grant opportunities.

Human Resources:
• Assist with review and updates to personnel policies and the employee handbook.
• Identify and provide information for staff training and development.
• Once training opportunities have been identified and approved, provide support for
employees to access.
