EXECUTIVE ASSISTANT – FOUNDATION & PRESIDENT’S OFFICE
This is a year-round position with full-time appointment with shared responsibilities between the Foundation and the President’s Office. This position will report to the Foundation Director and the President.
The Executive Assistant is responsible for providing the Foundation and the President a high-level of administrative support. The ability to interact with staff, faculty, students, community members, and donors in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient is crucial to this role. Concise and accurate written and verbal communication skills, strong decision-making ability, and attention to detail are equally important.
Duties are performed primarily in a school campus and office environment, with occasional off-campus meetings and events. As needed, this position requires occasional evening and weekend hours.
Working effectively and collaboratively in a team environment is a must.
This is a non-exempt, full-time, regular position. Overtime may be required.

WAGE RANGE: $21.00 - $24.00/Hour

Associate degree or certificate of completion from an accredited career school.
Demonstrated experience with Microsoft Office products and the ability to use computerized database programs.
Will on occasion be required to drive on behalf of Perry Technical Institute. Employee must possess a working vehicle, hold a valid driver’s license, have an acceptable driving record, and produce proof of insurance.
Must be willing to consent to a drug test.
Microsoft Office certification.
Washington State Notary certification.
Demonstrated ability to communicate effectively with individuals of different backgrounds.
Previous experience performing basic office tasks, including but not limited to mailing, faxing, working with multi-line phone system, photocopying, scanning, receipting money, tracking donations, and filing.
ESSENTIAL JOB FUNCTIONS:
Present yourself in a professional and tactful manner. Maintain a high level of confidentiality with all interactions.
Create a welcoming atmosphere for visitors while determining how best to address their needs.
Ability to prioritize and manage multiple projects simultaneously.
Accomplish tasks in a timely manner with an outstanding attention to detail.
Serve as the notary for the President’s Office.
Create and maintain documents utilizing Microsoft Office programs. Maintain and update mailing addresses in Jenzabar and mailing lists.
Coordinate events and meetings on campus; including set up and clean up. Be a vital member for events representing PTI that involve the Foundation and/or President.
Coordinate community service activities and track all volunteer hours for employees.
Record, transcribe, and distribute minutes of Trustee and Foundation Board meetings. Manage the President’s calendar, including scheduling of meetings with both internal and external constituents.
Maintain files, documents, and reports in a manner that allows for quick retrieval.
Conduct operations for the scholarship process from creation of the application through distribution of scholarship funds. Monitor, distribute, and promote scholarship information and; assist students with applications as needed. Update PTI website with scholarship opportunities for students, both external and internal.
Maintain the list of Careers that Work and Pathway to Perry recipients and provide timely notification of approvals to schools, financial aid and admissions.
Handle all certificate reimbursements for students, including monthly reconciliation.
Process incoming donations, including coordination of Perry Pantry donations. Invoice donors for scholarship payments.
Assist community members with auto donations and complete and notarize all documentation.
Ensure the timely retrieval and distribution of incoming and outgoing mail and interoffice documents.
Organize and promote internal PTI Auctions.
Coordinate staff meeting agenda and presentations.
Quarterly prepare and send updated Office Staff Service guide to all employees.
Assist with raffle duties as needed – may include: attending events, selling tickets, picking up sales, delivering materials to vendor locations, contacting businesses, tracking donations, coordinating with sponsors, and thinking with a sales/marketing approach. Some of these activities may occur outside of standard business hours and require some nights or weekends.
Produce campaigns in Mailchimp for alumni communication and to promote PTI events.
Document and maintain accurate raffle records for the Washington Gambling Commission.
Maintain accurate, detailed records for the Washington Department of Transportation support services, tracking of funds to ensure we are working within budget limits, create scholarship invoices and submit to the Department of Transportation.
Other duties as assigned.
