The Primary purpose of the Human Resources Administrative Assistant is to work closely with the Human Resources team and Administrative staff to assisting in meeting identified goals and objectives of the team. Primary duties will focus on supporting HR duties and front office activities of the Administrative offices by helping with reports, correspondence or other needs as requested.
Other duties for this position will be maintaining applicant files, schedules and assisting in compliance with contracts and supporting documentation to facilitate the functioning of the Human resources department.
Assist human resources with all administrative requirements pertaining to agency functioning.
Thorough documentation and attention to details in matters of management decisions and agency process changes and implementations
Assist in scheduling interview and meetings for applicants and employees and other groups agency wide as needed and assigned.
Day-to-day management of the Human Resources schedules
Management of front desk and lobby area for admin building and HR department
Setting up Business Planning meetings and coordinating all meetings in support of team efficiency
Ensure the team meets business planning targets
Liaising across agency contracts to ensure efficiency of delivery
Prepare and write simple policies and procedures
Providing direct support for the HR Manager and HR Generalist as required, particularly in daily operations
Maintaining files of all meeting records and employee files
Updating HR team on key organizational issues when any of the members is out of the office
Preparing and managing client contracts/agreements, maintain appropriate document filing systems and record retention where needed
Being a key point of contact for scheduling with any auditors to provide information for room and dates when requested
Develop and maintain appropriate document filing systems, and ensure compliance with records retention procedures
Develop relationships with key operational contacts, both internal and external
Ensure confidentiality at all times (this position will have access to highly confidential information)
