Job Duties/Scope Of Work:
Manage the office of the Chief Counsel and assist the Legal department in an efficient and professional manner using executive level administrative and technical skills. Regularly exercise discretion and independent judgment making decisions on important matters, performing under limited supervision. Execute special assignments and tasks.
The successful candidate will perform the following in a high-paced, highly confidential environment:
*Provide administrative support to the Chief Counsel (managing calendar, correspondence and deliverables).
*Ensure consistent and timely support of daily administrative services for the Legal department, including, but not limited to: meeting coordination, commitment tracking, telephone, mail, travel and expense reports, procurement (includes legal law library subscription management) and correspondence support.
*File management and maintenance of highly sensitive matters (Conflict of Interest forms and mitigation plans, legal briefs, etc.); to include scanning (for electronic retention), dissemination and filing as appropriate.
*Support the Legal team in preparation of litigation and hearing responses to Discovery, retrieval/copying data for production, etc.
*Collaborate regularly with the executive assistant team.
*High School diploma or GED, plus a minimum of ten (10) years of progressive administrative experience or equivalent combination of education and experience.
*Strong interpersonal and communication skills.
*Superior organizational skills, judgment, and flexibility.
*Excellent written communications skills, including proofreading and editing for accuracy, completeness, and grammatical correctness.
*Ability to multi-task the workload and priorities.
*Experience in making travel arrangements and managing expense reports.
*Experience in file/record retention and management.
*Proficient in Microsoft Office software, and up-to-date on other office technology.
*Must maintain strict professional confidentiality at all time.
*Administrative experience at the executive level.
*Experience interpreting and implementing policies, processes, and computer applications related to the organization.
*Legal workplace experience a plus.
*Experience with the Federal Acquisition Regulation (FAR) a plus.
*Some college level coursework.
*Experience supporting a corporate board member/officer a plus.
