Yakima Valley College is accepting applications for the position of Program Assistant in Student Support and Disability Support Services at the Grandview Campus. This is a full-time, cyclic - 10 month, classified position; beginning salary is $2,717 per month for 40 hours per week, with periodic increments up to $3,593, plus a full state benefits package. This position will have Leave Without Pay for the months of July and August.
Reporting to the Dean for the Grandview, the Program Assistant will serve as primary contact for Disability Support Services and Students Support Services program participants, maintain department program records, schedule appointments for students with counselors, and assist in providing accommodations such as for testing. The Program Assistant will organize and perform work specific to multiple program operations, independent of the daily administrative office needs.

The Program Assistant assists the Student Support Services (SSS) and Disability Support Services (DSS) departments, which will require coordination with the TRIO SSS Coordinator and Assistant Dean of Student Support Programs. The Program Assistant is also responsible for maintaining effective collaboration and teamwork with other divisions of the college. This position requires the ability to exercise sound judgment and problem-solving skills in decision making as well as a desire to promote a positive working relationship with peers and supervisors in a variety of departments across the institution. Must be dependable, and flexible to changing needs of the evolving program outcomes. Attendance is critical, and there are peak work periods when the Program Assistant must be present (i.e. first and last two weeks of each quarter, and federal reporting periods, etc.).

Qualifications
MINIMUM QUALIFICATIONS:
High school diploma or equivalent, AND
Two years of full-time clerical experience
OR
Equivalent education/experience

PREFERRED QUALIFICATIONS:
Proficient use of Microsoft Word, Excel, and Access
Effective interpersonal skills in dealing with staff, students, and the general public
Ability to communicate knowledge and skills in both oral and written forms
Ability to accurately keep records and recognize errors
Good judgment in making decisions in accordance with regulations and established policies and procedures
Experience with student outcomes tracking software
Demonstrated ability to work in a highly diverse environment
Experience working in an academic environment

Duties/Responsibilities
JOB PROFILE:
Serve as primary contact with Grandview program participants; provide information regarding program policies and activities; perform a variety of public relations functions
Compose correspondence, printed materials, and/or new releases related to program policies, procedures, and operations; edit materials for accuracy, appearance, readability, and style
Schedule and monitor activities to ensure consistency with program goals; address questions and concerns that arise in relation to SSS/DSS issues
Maintain up-to-date, accurate files on participants. Gather data and maintain accurate, pertinent data on SSS activities and student performance
Schedule appointments and assist students with application processes
Liaison with faculty in all departments to help students meet their specific academic needs
Prepare agendas and help conduct workshops, orientations, and informational meetings for program participants. Make presentations related to the program informing the campus community of program services.
Generate reports, forms, and correspondence as needed. Prepare, process, verify, and document time sheets. Prepare and process requisitions for equipment, printing, supplies, etc.
Make available information regarding program services to students, staff, faculty, and the community. Confer with other campus departments and outside agencies, as needed
Use technology to maximize the efforts of program students and staff. Implement student achievement ad online tracking software, or structures that ensure accurate collection of data, efficient transfer of data between student/files and reports as well as data upload into SSS Annual Progress Reports
Maintain an inventory of equipment, textbooks, and instructional materials. Monitor student check-out and return of items
Implement, monitor, and support changes as needed to achieve goals and objectives of the SSS/DSS programs
Attend TRIO events when needed by SSS
Attend meetings as required
Perform other Duties as Assigned
