The Administrative Assistant to Materials Management and Facilities performs varied and moderately complex clerical work in a multitude of responsibilities necessary to run the department efficiently. Serves as an information manager for department, including scheduling meetings, organizing, purchasing support, maintaining paper and electronic files, including shipping, receiving and work orders. This position reports to the Director of Materials Management and Logistics Support.
Essential Job Functions:
• Continuously conducts routine administrative support functions for the department with quality customer service
• Continuously tracks necessary supplies and places orders as needed or requested from inception to fulfillment
• Reconciles monthly transactions against purchased items and processing internal invoices
• Performs all shipping and receiving activities campus wide
• Continuously coordinates logistics for PNWU events from daily set ups to invoicing
• Manages the internal work order ticketing system
• Manages and maintains departmental calendars
• Understands accreditation standards and expectations specific to the department and adheres to policies and procedures to meet or exceed such standards
• Conducts self appropriately and consistently in accordance with the philosophy and mission of PNWU
• Other duties as assigned
• Required: High School Diploma or GED
• Preferred: Bachelor's Degree
• Two years of administrative support experience preferred. Must be proficient in Microsoft Office Suite.
