Yakima Valley College is accepting applications for an Office Assistant 3 in the Basic Skills Department. This is a full-time, 12-month per year, classified position. Beginning salary is $2313 per month for 40 hours per week, plus a full state benefits package. This position is grant funded and is contingent upon available funding.

Reporting to the WorkFirst Director, the Office Assistant 3 will work specifically in WorkFirst Programs and assist students referred by various funding agencies to facilitate their success. The WorkFirst program helps students support themselves and their families by offering short-term educational opportunities, training and other services to increase the chance of employment.

The Office Assistant 3 performs a variety of complex clerical and receptionist duties and serves as the first point of contact for WorkFirst students and the public. This includes answering program specific questions from students, staff and faculty, answering phone calls, and working collaboratively with other campus departments and outside agencies. In addition, the Office Assistant 3 establishes and maintains electronic record keeping/filing systems, and resolves issues and enquiries regarding rules, regulations and department procedures.

The Office Assistant 3 uses data base software to develop and maintain attendance records, review documents, reports and compose office correspondence.

High school graduation or equivalent AND
Two years of clerical experience PREFERRED QUALIFICATIONS:
Bilingual in English and Spanish
Ability to work effectively with a diverse population of students, faculty and staff
Knowledge and proficiency in the use of Microsoft Office Suite
Ability to work independently under general supervision

Provide exceptional customer service while multi-tasking in a fast-paced setting
Act as primary point of contact for first time students as well as staff, faculty and the public
Resolve issues and work independently under general supervision
Track attendance in EJAS
Regularly communicate and respond to DSHS staff in a timely manner
Schedule meetings, appointments and manage Outlook calendars
Receive and make phone calls
Complete complex clerical projects through the use of Microsoft Office Suite
Compose professional email and written correspondence
Compile/review reports, documents and paper/electronic files for accuracy
Respond to inquiries regarding rules, regulations, policies and department services
Collaborate and maintain positive relationships with YVC staff, faculty and community partners
Assist with providing direction and training to work-study and part-time hourly employees
Assist with CASAS testing
Assist with community training programs as needed
Maintain front office, inventory and stockroom in a neat and orderly manner
Assist with student voucher processing
Assist with updating marketing materials such as pamphlets, flyers and YVC website
Responsible for archiving/purging student files on a yearly basis
Other duties as assigned
