Administrative Coordinator
The Yakima YWCA is seeking a full time administrative coordinator to support our busy domestic violence services agency. This position provides general support to the Executive Director and Management Staff; assists with scheduling staff training and travel arrangements, provides administrative support to fundraising and special events, bulk mailing, board organization and communications, meeting reminders, board packets, and other administrative duties. The administrative coordinator will manage and maintain the telephone and IT needs of the YWCA. Also will act as secondary receptionist during busy times or upon request of management as well as provide backup in the receptionist’s absence.

Reports to:
Executive Director
•Provide administrative and general support to the Executive Director
•Provide support for planning and execution of fundraising and special events
•Assists when needed with data entry with various donor databases and generate reports as requested by management and board members
•Assist in board organization and communications, meeting reminders, packets, etc.
•Provide oversight of record retention and archives
•Assist Program Director in building operational needs such as maintaining appropriate inventory levels of office, program and cleaning supplies & ensure supply closets are stocked
•Schedule program space and resource rooms
•Ensure program spaces are prepared appropriately prior to all meetings and classes
•Assist Program Director in ensuring cleanliness and order of donation area, supply and storage closets, program spaces, archive rooms and break areas
•Maintain telephone, voicemail systems and lines
•Maintain all computers and IT systems (email and server)
•Provide back up for receptionist
•Distributes YWCA mail
•Other duties as assigned

Minimum Employment Qualifications & Requirements:
•Demonstrated organizational, written and oral communication skills
•Highly detail oriented.
•Demonstrated ability to work independently and as part of a team
•Two years minimum clerical or administrative experience
•Knowledge of telephone systems and IT issues/needs.
•Knowledge of general office equipment
•Proficiency with Microsoft Office (Word, Excel, PowerPoint)
•Ability to set positive tone within organization
•Ability to maintain confidentiality under extreme pressure
•Maintain professional boundaries with residents and clients
•Valid driver’s license and auto insurance (provide Washington State driving record)
•Must pass Washington State criminal background check
Desirable Qualifications:
•Nonprofit work experience and experience working with a board
•Fundraising or event organizational skills
•Experience working with Donor Database
