AP - Payroll Coordinator - Toppenish, WA

Job Description:
General Scope:
Provide financial, administrative, and clerical services. Accounts receivable duties include ensuring accuracy and efficiency of operations, processing and monitoring incoming payments and securing revenue by verifying and posting receipts. Accounts Payable duties include inputting expenses and verifying the accuracy of figures.

1) Accounts Payable:
•Stamp invoices upon receipt and match with appropriate purchase order/purchase requisition and receiving documentation.
•Check invoice prices and quantities against purchase order/purchase requisition and check terms and discounts.
•Prepare invoice payment requests, enter AP system, and check for errors.
•Maintain open/suspense files for purchase orders, purchase requisitions, DR's, material receipts and invoices.
•Type and distribute purchase orders and maintain accounts payable files.
•Effectively completes month end and other accounting year close functions.
•Key and verify journal vouchers, charge tags and ICV’s.
2) Capital job cost detail and summary
•Enter all encumbrances and subsequent payment transactions and weekly payroll amounts or capital, NR/R and NR/NR jobs into PC based Job Cost Detail System.
•Keep management informed on a weekly basis of the status of capital, NR/R and NR/NR jobs and balance PC based system to general ledger monthly.
3) Payroll:
•Process daily payroll.
•Prepare and key payroll adjustments.
•Calculate and key supply deductions into payroll systems.
•Run error listing, check for errors, and make necessary corrections.
•Balance daily payroll reports.
•Maintain timesheets and payroll report files.
•Close and balance payroll for the week.
•Prepare garnishment/wage assignment reports.
•Prepare and reconcile union health and welfare, life insurance, and pension reports.
•Prepare IPR’s for payment of union benefits and garnishment/wage assignments.
•Fulfill information requests concerning employee payroll issues and management needs.

Education and Experience:
•Bachelor’s Degree in Accounting, Finance or Business. Minimum of 3 years relevant AP and payroll processing experience.

Special Requirements:
· Bi-lingual (Spanish) both verbal and written skills.

· Data Processing, balance/basic accounting, Phone/Communication, Filing, Word Processing & Spreadsheet skills, and other office machines.

· Must effectively interact with all levels of management.

· Experience working with KRONOS or other time and attendance software system.
