Job Description:
PURPOSE OF THE POSITION:
The Administrative Support is responsible for coordinating and maintaining payroll and benefits information for hourly employees, creating and publishing weekly work schedules for hourly employees, and providing HR support. In addition, position determines plant processing yield/recovery for all fruit processes; provides data entry of raw fruit, supplies, and concentrate; schedules shipments and receiving of warehouse goods and bulk concentrates; and oversees inventory reconciliation of raw fruit, bulk concentrate, and processing supplies.

WORKING RELATIONSHIPS:
This position reports to the Human Resources Manager and does not supervise staff. The position may work closely with plant staff, corporate HR (payroll and benefits), temp agency, benefit vendors, and the employment department.

ESSENTIAL FUNCTIONS:
(The essential functions listed below are not intended to reflect all duties that may be assigned to this position. It is the responsibility of every employee at Tree Top Inc. to report food safety and food quality problems or risks to personnel with the authority to initiate action against these said possible risks. Tree Top has identified personnel that will serve as backups for key personnel in the event that said employee is absent or unavailable. These provisions can be found within the organizational chart. Tree Top may augment duties, including essential functions, at its discretion.)

•Prepare all hourly employee payrolls by checking and auditing timekeeping records; create lists of deductions owed and input before closing payroll; completing and printing payroll reports; giving out checks and acquiring signatures on documents; and setting up new employee information and terminating hourly employees in the payroll system. Oversee timekeeping system, including updating scheduling, job codes, and ensuring payroll is correct.
•Provide benefits and orientation support to plant hourly employees. Serve as a liaison between corporate benefits administration and plant employees. Ensure benefits and orientation packets are assembled. Meet with employees and address questions or issues and prepare necessary forms.
•Provide HR support, which may include: posting bid positions and awarding those positions, assisting with the onboarding process for new hires, assisting with the drug and alcohol testing process, ensuring job descriptions are completed and maintained for hourly positions, and assisting with department initiatives such as open enrollment, training, parties, etc.
•Assist in various phases of the plant recruitment process for hourly positions, which may include working with hiring managers, advertising, collecting and screening resumes, conducting interviews, and entering applicants into applicant tracking software.
•Calculate daily yield for all fruit processes, including data entry of raw fruit usage, verification of production, and data entry of processing aids. •Publish a yield report that balances to system reporting.
•Schedule appointments for the warehouse at the Prosser plant as well as Kenyon Cold Storage, for both incoming and outgoing products. •Communicate with operations supervisors as well as warehouse staff to ensure the product is ready to ship at the appointed time.
•Schedule appointments for bulk concentrate, both incoming and outgoing products. Communication with operations supervisors, traffic, and planning to ensure the product is ready to ship at the appointed time.
•Reconcile the raw fruit inventory, processing supply inventory, and bulk concentrate inventory on a daily and/or weekly basis.
•Provide other administrative duties, which may include: Providing support and back-up to other admin staff to cover vacation, training, and other time away; coordinating office machine repairs; receiving and distributing mail; maintaining inventory and ordering office supplies; ensuring employee postings are updated; and administering safety committee minutes, sending out meeting reminders and completing action register.
•Have regular attendance and work-appropriate number of hours to get the essential functions completed.
•Perform under the Working Conditions described below.
QUALIFICATIONS FOR ENTRY:

KNOWLEDGE OF:
•Principles and practices of payroll, accounting, or bookkeeping.
•Basic understanding of human resources management and processes.
•Basic understanding of Fair Labor Standards Act (FLSA).
•Principles and practices of effective business communication.
•Office administrative and management practices and procedures, including record keeping and filing.
•Principles and practices of inventory reconciliation.

ABILITY TO:
•Prepare clear, concise, and accurate correspondence, documents, reports and other written materials.
•Prepare and maintain accurate payroll documents, files, and records.
•Collect, organize and compile reports on information and data.
•Gain cooperation through discussion and persuasion.
•Identify, research, and analyze problems, identify alternative solutions, and project consequences of proposed actions.
•Effectively organize, plan, and execute.
•Maintain confidential and sensitive information.
•Use computers and computer software including word processing, spreadsheets, payroll, and timekeeping.

EXPERIENCE, CERTIFICATION/LICENSES, AND TRAINING:
•An associate’s degree in Business or a related field is preferred.
•Minimum of 1-3 years of experience performing accounting, clerical, payroll, or related in an office environment.

•Constantly works in an office environment and occasionally has exposures to a manufacturing/plant environment
