Yakima Valley College is accepting applications for one full-time Bilingual Office Assistant 3 in the Workforce Education - Dental Hygiene Program. This is a full-time, non-permanent, classified position; beginning salary is $2,874.90 per month for 40 hours per week. This is a non-eligible benefits position.

Reporting to the Director – Workforce Education, the Bilingual Office Assistant 3 performs a variety of complex clerical and receptionist tasks such as answering/transferring the telephone, answering questions from students, faculty, and the public. In addition, this positions performs fiscally related tasks using manual and/or computerized systems, which involves receiving distributing transferring, and accounting for funds such as distribution of monies owed or advanced; receipt of payments by cash, checks, or credit cards; and maintenance of internal external cash flow records. Will provide specialized clerical/technical duties in support of the Dental Hygiene Program and Dental Hygiene Clinic.
Work under guidance of the Dental Hygiene Coordinator and as a team member collaborate with the department faculty, staff, administrators, patients and community; and perform other duties as assigned. Additionally, we are seeking a candidate who demonstrates a strong promise as a contributing member of the Workforce Education Division.
This position requires accountability, dependability, engagement and ability to concentrate for extended periods, work with multiple interruptions, and multitask. The Bilingual Office Assistant 3 will practice the Health Insurance Portability and Accountability Act (HIPAA) and Family Educational Rights and Privacy Act (FERPA). Duties are performed in an office environment. Long periods of computer work may be necessary to complete assignments. Occasional lifting of items up to 25 lbs. may be required.
Use verbal and written interpreting Spanish skills to aid Spanish-speaking students/patients and visitors as warranted
Program Office Responsibilities
Serve as the first point of contact for the DH office using appropriate etiquette for receiving, assisting, and referring members of the public, students, etc
Schedule appointments for screening patients including additional patient services
Provide accurate written and verbal information in response to inquiries from colleagues, students, and the public or refer inquires to informed individuals
Assist with program walk-throughs as requested
Monitor, receive and maintain clinical inventory and order supplies
Use a multi-line phone system to answer, respond to inquiries, and transfer telephone calls
Resolve customer/patient concerns and respond to student/patient inquiries regarding DH program
Accurately perform complex word processing to include but not limited to merging and sorting, spreadsheets, and database files, uploading/downloading, and accessibility standards
Accurately keep confidential records, with attention to detail and proof reading of documents
Make and record daily patient deposits within the institution
Attend division/program monthly meetings upon request from DH Coordinator, or administration
May work occasional evenings and/or weekends
May support other Professional Technical programs as other duties assigned
Receive cash, checks and/or credit cards in payment for patient fees
Issue computerized or manual receipts for payments received by cash, checks, or credit cards
Maintain records of funds received, distributed, and transferred
Balance records at the end of the workday
Prepare reports of cash receipts and disposition reports
Perform tasks requiring the use of basic arithmetic such as addition, subtraction, multiplication, and division
Complete deposit slips for patient transactions
Other: Perform other duties as assigned

Interpret and implement rules/regulations
Work independently and meet deadlines as necessary
Occasionally work evenings or weekends
Communicate information clearly, concisely, and logically both in writing and orally
Read and comprehend advanced instructions, operating manuals, correspondences and memos (English/Spanish)
Ability to quickly learn new software applications (i.e., Microsoft Office Applications)
Regulations, rules, policies, procedures, processes, materials, or equipment applicable to the institution and department
High school diploma or GED, AND
Two years of full-time clerical experience, OR equivalent education/experience in a dental office
An earned Associate degree from a regionally accredited institution
Possess reliable personal transportation
Experience in dental billing (posting and submitting claims)
Experience working in a busy office environment and working well under pressure
