Job Summary

The Payroll Administrator will be responsible for managing and processing payroll for 150+ union, multi-state employees, journal entries, account reconciliations, and reporting. They will ensure accurate calculation of wages, tax withholding, and company deductions including garnishments, review computation of pay and ensure company payroll policies are in accordance with union and government regulations. The Payroll Administrator will maintain and manage confidential company and employee information and records. This position will generate weekly and month end analytical work and respond in a timely manner on payroll related questions and requirements. Payroll Administrator will contribute to moderately complex aspects of a project as well as work independent and collaborative in nature. This position will provide regular updates to the Accounting Manager on project and account status.

The ideal candidate for this role will have strong communication, customer service and organizational skills. Attention to detail is a must. Proficiency with Microsoft Office applications is expected; advanced skill level in Microsoft Excel is required. Experience with ERP software is a plus.

Job Functions

Ensure accurate calculation of wages, tax withholding, and company deductions including garnishments, review the computation of pay and ensure the company payroll policies are in accordance with union and government regulations
Prepare statistical reports on employee pay and bonuses, retirement, vacation, sick, disability and workers compensation leave; taxes, withholding, etc. as needed.
Oversee the distribution of paychecks or arranges direct deposit programs and will be responsible for balancing payroll runs
Reconciling payroll and uploading general ledger account transactions
Maintain records, ledgers and files
Set up and maintain state and local tax accounts
Ensure remote employees are compensated according to various state laws
Manage 401(k) retirement accounts and produce reporting as necessary
Perform additional work as required

Education and Experience An equivalent combination of education, training and experience will be considered.

College Degree preferred or equivalent years of related experience;
Minimum 7 years payroll experience required
Minimum 2 years union payroll experience required
Working knowledge of payroll processing through Paycom is required
Experience with weekly and biweekly Payroll Processing for unions is required
Experience with multi-state payroll is required
Good understanding of payroll regulations for both union and non-union employees
Experience reading and interpreting union contracts
Timecard processing of weekly and biweekly timecards with timekeeper software is required
Familiarity with Microsoft Office software programs: Word and Excel; (advanced Pivot Tables and Vlookups)

Ability to work independently under pressure and meet deadlines.
Proven ability to calculate, post and manage payroll records
Understanding of basic accounting principles
Competency in Microsoft applications including Word, Excel and Outlook. Advanced Excel skill level
Strong, effective verbal and written communication skills to work across a variety of departments, work groups, locations and time zones
Attention to detail and ability to multi-task is an asset.
Ability to make sound decisions using available resources
Work as a team. Must be able to pool our knowledge and energy to work in tandem to completely understand and productively respond to all of the business challenges.
Must be able to exercise discretion and independent judgement managing payroll and related activities
Ability to manage, organize and prioritize tasks in order to meet strict payroll and company deadlines

Work Environment Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

This job operates in a clerical, office setting.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
