Administrative Assistant to Preclinical Education of the College of Osteopathic Medicine (COM) is responsible for the administrative duties necessary to run the Preclinical Department of the COM efficiently. Serves as an information manager for the department, including scheduling meetings and appointments, organizing events, managing projects. Also serves the needs of the institution and its stakeholders as the center for communicating with internal and external audiences and for building and maintaining key relationships.
Essential Job Functions:
-Manage projects and timelines
-Manages Associate and Assistant Deans’ calendars
-Follows-up on assignments and provides status reports to the Deans regarding current projects, curriculum issues, grant applications, and event scheduling
-Process VISA and travel reconciliations for assigned administrators and faculty
-Creates and manages assessment and curriculum data files using Excel
-Work independently with vendors and sales representatives
-Continuous coordination and management of COM Committees
-Coordinates and organizes meetings, including notification to prospective attendees, set-up, pre-and post-meeting correspondence and any required follow-up
-In partnership with committee chairs and lead staff, develops meeting agendas
-Takes meeting minutes and distributes to committee once complete
-Facilitate Assigned COM events – from conception to evaluation:
-Facilitates/Plans/Executes What Matters at the End Conference, including coordinating volunteers, advertising, topics and speakers
-Facilitates/Plans/Executes trainings, seminars, webinars, student events, lunch and learns, including those during non-business hours
-Understands accreditation standards and expectations specific to the department and adheres to policies and procedures to meet or exceed such standards
-Conducts self appropriately and consistently in accordance with the philosophy and mission of PNWU
Other duties as assigned
-Required: High School Diploma or GED
-Preferred: Bachelor’s Degree
-Five years of related experience required. Additional education may be substituted for years of work experience
-Strong computer skills (MS Office Suite, Excel spreadsheets, and PowerPoint presentation, Project Management tracking and reporting)
-Effective oral and written communication skills
-Excellent interpersonal skills
-Excellent critical thinking skills
