Yakima Valley College is accepting applications for one Office Assistant 3 in the Student Services - Registration Department. This is a full-time classified position, beginning salary is $2,738 per month for 40 hours per week, with periodic increments up to $3,616, plus a full state benefits package.
Reporting to the Registrar and Director - Enrollment and Registration Services, the Office Assistant 3 is in support of the Office of Registration and is a customer service focused position. The Office Assistant 3 will practice and follow the Family Educational Rights and Privacy Act (FERPA) at all times. The person in this position will have consistent contact with prospective students, parents, staff, faculty, and the general public.
-Provide Registration & Records front desk coverage
-Process all forms related to registration and records functions
-Answer calls and emails related to the functions of the Office of Registration & Records and college policies, and refer individuals to appropriate departments
-Process all grading problems after initial grading process has been completed including Grading and Transcript Changes once approved by the Registrar
-Communicate with faculty, staff, and students concerning the quarterly grading process, grade rosters, and timelines
-Run, print, correct, and verify reports during and at the end of the quarter (drops for non-payment reports, waitlist reports, grade reports, biographical reports, etc.)
Bill for owed student tuition
-Monitor the submission of grades and provide training on grading functions, as needed, to faculty and staff on web applications
-Review reports and correct or enter missing data
-Communicate with staff and students concerning the quarterly tuition due dates and timelines
-Update web applications in a timely manner to reflect correct tuition due dates and quarter default codes
-Run reports to ensure missing biographical information is entered, clean, and correct
-Filing (electronic and paper)
-Access a variety of computer programs to perform daily duties, including, but not limited to, Microsoft Excel, Word, Access and Outlook
-Perform data entry
-Assist with other departmental activities necessary to assure student success
-Attend and contribute working knowledge to various staff and interdepartmental meetings as needed/requested
-Assist Program Support Supervisor 1 and Registrar and Director for Enrollment as needed
-Perform other duties as assigned
-Sitting for long periods of time
-Working on computer for long periods of time
-Walking across campus as needed for meetings, archive storage, mail, etc.
-Maintain ethics, integrity, confidentiality and use of sound professional judgment
-Multi-task, prioritize workload and demonstrated use of time management skills
-Work individually and as a team member
-Work accurately with attention to detail and numbers
-Working independently and as a team member as needed.
-Communicate effectively in oral and written forms
-Communicate and work effectively with people from various ethnic, cultural, educational and socio-economic backgrounds
-Student record privacy
-Entering data into an Excel spreadsheet
-Microsoft office – Outlook, Excel, and Word
-High school diploma or GED certificate, AND Two years of clerical/office experience
-An Associate's or Bachelor's degree in education, social sciences, or business
-Bilingual in Spanish
-Previous employment in a higher education setting
-Proficient use of Microsoft Word, Excel, PowerPoint, and Access
-Excellent interpersonal and written communication
