Pacific Northwest University of Health Sciences (PNWU) was founded as a 501(c) (3) non-profit medical institution in 2005 aimed at increasing access to health care in medically underserved areas of the Pacific Northwest.
The University currently offers the degree of Doctor of Osteopathic Medicine enrolling a total of 560 medical students with plans to develop other programs and/or colleges. Interprofessional education partnerships with other universities adds another 100 students to the population. The campus includes 300 employees with academic programming spread over a five state region.
PNWU is located in Yakima, WA, a city of approximately 95,000 located in the south central part of the state near the eastern slopes of the Cascade Mountains in a major agricultural and outdoor recreation region. The application records processor assists the Assistant Director of Applications in activities concerning prospective students, under the direction of the Director of Enrollment Services. Duties includes data entry, document management, customer service, and participation in on-campus activities. The position requires a student/customer service oriented individual familiar with general university procedures, policies, services, and ability to assist any student, potential student, their families, faculty, staff, and university visitors.
Essential Job Functions:
• Customer Service
o Provide consistent quality customer service to all persons via phone, in-person, and email
o Manage office mail and email accounts
o Review website for accuracy and submit update requests
o Respond to prospective student inquiries regarding application procedures/admission requirements and status of their application
o Provide campus tours for individuals and groups
• Application processing
o Perform administrative duties;
o manage and process incoming and outgoing mail
o Document management by scanning, saving, and electronic filing
o Data entry to student information system; inquiry information, application updates, application notes, interview results, etc.
o Advanced word processing; mail merge, create forms, compose and edit documents, update standard operating procedures
o Review letters of recommendation for eligibility, save, updated application requirements, and communicate with applicants
o Review status of requirements, calculate application rating, update application status
o Maintain application status in centralized application system
• Interview processing
o Assist with preparing for and participating in interview days; prepare necessary forms, greet and brief applicants, interact in a friendly, informative, and professional manner
o Manage inventory of supplies needed for interviews
o Track interviewer attendance
o Monitor, download, and data enter interview scores to the application record
• Matriculation processing
o Assist in collecting, data entry, and filing submitted hard copy and electronic documents to meet matriculation requirements; criminal background reports, financial literacy modules, required trainings, immunizations, matriculation documents, transcripts, etc.
o Data entry of high school information to academic record system
• Recruitment processing
o Data entry of inquiry cards and ensure correct follow up is queued in system
o Process web inquiry submissions and ensure correct follow up is queued in system
o Assist with recruitment batch emails, setup and tracking event registration, drafting/proofreading electronic communications
o Assist with preparing for and participating in enrollment services activities; graduation, open house, etc.
• Understands accreditation standards and expectations specific to the department and adheres to policies and procedures to meet or exceed such standards
• Conducts self appropriately and consistently in accordance with the philosophy and mission of PNWU
• Other duties as assigned
• Required: High School Diploma or GED
• Preferred: Two years college
• Required: Customer service or related experience
• Required: Intermediate to advanced Microsoft Outlook, Word, and Excel
• Preferred: Zoom, Microsoft Teams and SharePoint
• Preferred: Experience with multi-line phone system, taking calls, transferring calls, forwarding to voice mailboxes

Strong organization skills, accuracy, and attention to detail; strong verbal and written communication skills including typing, punctuation, spelling and grammar; ability to plan ahead, anticipate office needs, and take initiative to prepare; ability to follow directions, complete assignments by deadline; ability to use multiple web based or data base systems; ability to work in a team and flexibility to work with others in a variety of circumstances; ability to problem solve by analyzing issues and creating action plans, ability to manage projects and people and prioritize and self-direct work flow; ability to work with and manage different computer programs and databases; and ability to schedule activities and/or meetings.
